1. Information We Collect
We collect information you provide when you contact us, register for a service, use the customer portal, or make a purchase. We also receive limited technical information needed to deliver and secure the website and services.
Personal Information
Name, company name, billing address, phone number, email address, and inquiry or service details you submit during registration, an inquiry, or a purchase. Some billing information may be provided directly to Stripe during checkout.
Technical & Fleet Data
Hostnames, server IP addresses, operating system versions, and basic server profile details that you submit through the secure customer portal to support infrastructure care and automation.
Payment Processing
Stripe handles payment processing. We do not store or process your full credit or debit card number on our servers. We may receive transaction and subscription information needed to administer your purchase.
Website Usage & Cookies
If you allow analytics, Google Analytics uses first-party cookies, browser or device information, on-site activity, and the page title and URL (including query parameters such as campaign tags) to produce usage metrics. Do not put names, email addresses, passwords, or other personal information in a URL. Google states that standard Google Analytics does not log or store IP addresses. Cloudflare and hosting or security systems may process IP addresses and request details for DNS, edge delivery, security, and diagnostics. Analytics is not loaded until you consent; ad personalization is disabled in the current website configuration. You can change your choice using Analytics Preferences in the site footer.
For more about Google's handling of Analytics data, see Google Analytics: Safeguarding your data.
2. Security & Access Safeguards
Access to customer systems is limited to the work you authorize and the access needed to perform that work.
Our Access Policy
We access customer environments using secure SSH key-pair authentication. We do not ask for or store your private SSH keys or root passwords.
Data Encryption
Connections to the customer portal use HTTPS with TLS encryption to protect information in transit between your browser and the portal.
NO PLAINTEXT SECRETS
Never send passwords or private keys through ordinary unencrypted email. Use the customer portal or another secure access method agreed with OS Assistance.
3. How We Use Your Information
We use personal, account, and technical information for these purposes:
- Provisioning, managing, and verifying Linux server monitoring and care plans.
- Executing, prioritizing, and communicating progress on active scripting or automation tasks.
- Processing subscription billing and transaction charges securely through Stripe.
- Reviewing website performance metrics and improving site reliability and navigation.
- Protecting the website, portal, customer systems, and users from misuse or security incidents.
4. Third-Party Disclosures & Compliance
No Data Selling
We do not sell, rent, or lease your personal, company, or system data.
Service Providers
We share information only with the following service providers, when needed for their listed functions:
We may also disclose information when required by law or valid legal process, or when reasonably necessary to protect the safety, rights, and security of SHRE Consulting Corp., our clients, or others.
5. User Rights, Retention & Pausing
Data Retention
We retain account and server profile information while a Care Plan subscription is active. Pausing or canceling a subscription does not automatically delete portal data; it remains in an inactive state until you ask us to delete it or resume service. We may retain limited records for longer when needed for legal, accounting, security, or dispute-resolution purposes. We delete or de-identify information when it is no longer needed for those purposes, subject to applicable requirements.
Access, Correction & Deletion
You may request access to, correction of, or deletion of your personal and server profile information. Where applicable law provides these rights, you may also request a portable copy of your information or opt out of the sale of personal data, targeted advertising, or covered profiling. We do not sell personal data, and ad personalization is disabled in the current website configuration. To submit a request, use the customer portal at osassistance.com/cs/ or email [email protected]. We may ask for information needed to verify your identity and authority to make the request.
Appeals: If we deny a privacy request, you may ask us to review that decision by replying to our response or emailing [email protected] with “Privacy Request Appeal” in the subject line. We will handle requests and appeals under the timelines and procedures required by applicable law.
